Privacy Policy

This Privacy Policy describes how MonoDispatch ("MonoDispatch," "we," "us," or "our") collects, uses, and shares information when you use our dispatch automation platform (the "Service") at monodispatch.com.

By using the Service you agree to this Privacy Policy. If you do not agree, please do not use the Service. Questions can be sent to privacy@monodispatch.com.

1. Information we collect

We collect the following categories of information:

  • Account information. Email, full name, password hash, role (dispatcher, admin, driver), phone number, and company affiliation. Provided by you or by an authorized administrator on your behalf.
  • Operational data. Loads, drivers, trucks, brokers, shippers, offers, bids, chats, check calls, and related dispatch records that you create or that are generated as you use the Service.
  • Documents. Files you upload (rate confirmations, bills of lading, proofs of delivery, driver documents). Stored in encrypted object storage.
  • Driver location data. If you operate as a driver and grant location permission, we record GPS coordinates while a load is active. Location data is used to support dispatcher visibility on assigned loads and is retained for 90 days.
  • Email content. Inbound emails to dispatch addresses you authorize are parsed to extract load metadata. We retain the original message and structured output for review and audit.
  • Usage data. Standard server logs (IP address, user-agent, timestamp, request path), feature usage telemetry, and performance metrics.
  • Cookies. Strictly functional cookies for authentication and session management. We do not use third-party advertising or tracking cookies.

2. How we use information

  • To operate the Service: authenticate you, render the load board, run driver matching, deliver notifications, and process documents you upload.
  • To improve the Service: aggregate usage analytics, debug, and product research.
  • To communicate: service announcements, security alerts, support replies.
  • To meet legal obligations: respond to lawful requests, prevent fraud, and enforce our Terms of Service.

We do not sell your personal information. We do not use your data to train external AI models. We do use third-party large-language-model providers as data processors (under contract) to parse load emails and rate confirmations on your behalf.

3. How we share information

We share information only in these cases:

  • Within your organization. Dispatchers can see drivers, loads, and related records belonging to their own dispatch company. Dispatchers cannot see loads, offers, or operational data belonging to other dispatch companies on MonoDispatch. Drivers see offers and load details from any dispatch company that sends them an offer, and the company name is shown on each offer so drivers always know which company they are accepting work from.
  • With service providers. Cloud hosting (Amazon Web Services), email delivery, AI inference, error monitoring, and analytics. Each is bound by contract to use data only as needed to provide the service.
  • With brokers and shippers you choose to send offers or load updates to.
  • For legal reasons when required by law, court order, or to protect MonoDispatch, our users, or the public from harm.
  • In a business transfer. If MonoDispatch is acquired or reorganized, your data may transfer to the successor entity, subject to this Privacy Policy or a successor with comparable protections.

4. Retention

Account data and operational records are retained while your account is active and for up to two years after termination, after which they are deleted or anonymized. Driver GPS coordinates are retained for 90 days. Server logs are retained for 30 days. You can request deletion sooner by writing to privacy@monodispatch.com.

5. Security

All connections use TLS. Passwords are hashed with Argon2. Database credentials are held in an encrypted environment file with restricted access. Object storage is encrypted at rest. We follow the principle of least privilege for service credentials and review access on a recurring basis. No system is perfectly secure, and we cannot guarantee absolute security.

6. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of your information.
  • Receive a copy of your data in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.

To exercise any of these rights, contact privacy@monodispatch.com. We will respond within 30 days.

EU/UK users (GDPR/UK GDPR): Our legal bases for processing are contract performance, legitimate interest in operating and improving the Service, and legal obligation. You may file a complaint with your supervisory authority.

California users (CCPA/CPRA): We do not sell or share personal information for cross-context behavioral advertising. You have the right to know, delete, correct, and limit certain uses.

7. International data transfers

The Service is hosted in the United States. If you access it from outside the US, your information will be transferred to and processed in the US. Where required, we rely on appropriate transfer mechanisms such as Standard Contractual Clauses.

8. Children

The Service is not directed at children under 18 and we do not knowingly collect information from them. If you believe a child has provided us information, contact us and we will delete it.

9. Changes to this policy

We will update this policy as the Service evolves. Material changes will be announced by email or in-product banner at least 14 days before they take effect. The current version is always available at this URL with a "Last updated" date at the top.
